On-Site ePRO in Castor EDC

The On-Site ePRO feature in Castor EDC enables study teams to capture participant survey data directly on a site-based device, such as a tablet. This functionality is ideal for studies requiring in-person or supervised assessments, ensuring data is collected in a secure and controlled environment.

Participants can complete surveys on a device administered by site staff, with all data automatically linked to their participant record in Castor EDC.

 

Key Capabilities

  • On-Site Data Capture: Collect survey responses directly on a clinic device (e.g., tablet).

  • Secure Workflow: Only logged-in site users can initiate surveys. The system automatically logs out once the survey starts to protect data integrity.

  • Linked to Participant and Visit: The survey is automatically associated with the correct participant and visit.

  • Language Options: Choose the appropriate language before starting the survey.

  • Real-Time Saving: Responses are stored continuously as the participant progresses through the survey.

đź’ˇ Note: On-Site ePRO requires an active internet connection. Offline completion is not supported.

 

Accessing the On-Site ePRO

  1. Log in to Castor EDC-CDMS and open your study.

  2. Navigate to the Participants tab.

  3. Click the On-site ePRO button next to the relevant participant.

 

 

Administering a Survey

 

Follow these steps to administer an on-site survey:

  1. Select Participant and Visit

    • Choose the correct participant ID, visit, survey, and preferred interface language.

    • Confirm the participant’s identity by checking the verification box.

  2. Start the Survey

    • Review the participant and survey details to ensure accuracy.

    • Choose “Complete on this device” when prompted for the survey method.

    • The system logs the clinician out and opens the survey for the participant to complete.

  3. Participant Completes Survey

    • The participant answers all required questions.

    • After completing the survey, they tap Finish Survey and confirm by selecting Yes.

    • A “Thank you” message will appear, confirming successful completion.

  4. After Completion

    • Retrieve the device and return to the homepage.

    • Choose one of the following:

      • On-site ePRO Home Page: Prepare for the next participant.

      • EDC-CDMS Login: Return to the study to view participant progress under the Survey Overview or Survey Compliance tabs.

  • Verify participant and visit information before starting.

  • Always select “Complete on this device” for on-site workflows.

  • Confirm survey completion before retrieving the device.

  • Monitor completion and compliance within the Survey Overview and Survey Compliance tabs.

How is the feature enabled? The On-Site ePRO feature is enabled by Castor Support upon request and additional fees may incur.

Which devices are supported? Optimized for modern tablets such as iPads or Samsung Galaxy Tabs.

Can the participant complete surveys independently? Yes. On-site ePRO supports both clinician-assisted and independent completion.

Does it work offline? No. An active internet connection is required for data entry and submission.

Is survey data automatically linked to the correct participant? Yes. The clinician selects the participant and visit before the survey begins, ensuring automatic association.

Is On-Site ePRO data stored the same way as other surveys?  Yes. Data collected through On-Site ePRO is processed identically to standard web-based surveys.
