Entering repeated data in CDMS

Here we will explain how to add repeating data instances to a participant.
It is important to note that 'Edit' rights are required in order to be able to create repeating data instances. If you do not see any of the options described below you should contact your study manager to request adequate access.
When you open a new study, there will be no repeating data forms, these can be created by study admin in Study forms > Repeating Data.

The repeating data tab in data entry
To start:
- Access a participant in the participants tab or create a new one.
- Open the participant and select the repeating data tab.
- The repeating data overview will be displayed.
- Filters:
You can filter by repeating data type (Adverse Event, Event, Medication, Other, Repeated measure, or Unscheduled visit), repeating data, status, repeating data name or by the visit to which a repeating data was attached.
Here you can see the list of all repeating data that has been added to this participant.
To add new repeating data, follow these steps:
- Click the 'Add a repeating data instance' button.
- After pressing the 'Add a repeating data instance' button the below dialog shown:
Repeating data: First choose which repeating data you would like to add to this participant.
Custom name: Here you can define the repeating data name. For auto-generated names this is a preview. The name that will be actually stored may differ as it will be regenerated upon the actual save.
Attach to: You can choose to attach the repeating data to a visit or another repeating data instance. By attaching a repeating data instance to a visit it will be listed in the Visit/Form navigator on the left side of the normal data entry window as well. The repeated data instance can also be attached to unscheduled visits.
- Once this information is filled in click the 'Create' button to add the repeating data instance to the participant and fill in the data. Optional: Click on the 'Create and add another' button to create this repeating data instance and add another one.
Note. You will only see the repeating data instances that are available for your user role. If you do not see a repeating data instance in the ‘All repeating data’ list it is possible that it has been hidden for your user role. You should contact your study administrator if you think you should have access.
Opening the repeating data instance
Open the repeating data instance by clicking on its row.
The overview panel will collapse and the repeating data instance data entry panel will slide up from the bottom of the view:
Click on 'All repeating data' to return to the repeating data overview.
The left hand side of the view shows the forms in the repeating data instance (point 2), which works in the same way as the normal form navigator (See: Doing data entry).
Data can be entered into a repeating data instance in the same manner as for regular study forms.
Each field has a cogwheel icon that opens up a menu with options and actions.
Within the Repeated Data tab, each repeating data instance has a cogwheel icon that opens up a menu with related options and actions:
Open repeating data: Opens the repeating data in the data entry window.
Edit repeating data: Allows you to update the custom name of the given repeating data instance and attach it to a different visit if needed.
Delete repeating data: Remove the repeating data instance from the participant. (Please note: this will delete all associated data with it). Click here to read more about the conditions for deleting a repeating data instance.
Archive repeating data: Removes the repeating data instance from the normal data collection, but data will still be saved in the database. Archived data won't be exported.
Print: Creates a printable overview of the repeating data instance and the collected data.
If you want to quickly go to the repeating data overview, consider switching between the repeating data and the overview tab by pressing on the '-' and '+' signs:
Visibility of Repeating Data Measures in the Visit Navigator
Outcome:
To view the instances created in the visit navigator, you will need first to enable the feature from the study settings with these steps:
- Go to Settings > Study
- Navigate to the Other tab
- Enable the feature “Display repeated measure instances in visit navigator”
- Save the setting to the study, to apply it.
All that remains is to verify the outcome within the visit navigator as the screenshot suggests.
